· Reporting to the Commercial Strategy Lead: global point of contact for RD international congresses for external and internal stakeholders
· Planning and tracking of congress budget, execution and payments.
· Managing relationships with congress organizers: applications, congress registrations, general communications, etc.
· Co-creating congress planning & strategy together with the assigned Congress Core Team.
· Coordination of overall congress cross-functional activities and tracking of congress planning execution.
· Congress logistics arrangements: accommodation, meals, in-situ transportation, and events around the congress.
· Flagging of bottlenecks and congress deadlines.
· Internal Events:
· Coordinating overall event planning and activities
· Arranging event logistics
· Reporting directly to the Rare Diseases Europe Vice President: managing of his agenda and support in scheduling meetings, travels, etc.
· Team / HCP events, dinners: contact with locations and suppliers, quotations, invitations.
· Support Commercial Strategy Lead and x-functional Leads in congresses/events organization/registration: contacts with organizers, suppliers, travels and promotional agencies
· Support internal meetings: active participation when required, invitations, technology set up as needed, minutes.
· General Support for Team travels: flights, accomodation, transfer etc.
· Finance Support: active support in Budget tracking, close cooperation with Finance Dept.:
o Monthly budget tracking: monthly comparison actual/committed vs budget
o Monthly calls with functions for annual budget checking
· Vendor management process: support with Contracts writing, processing of BU orders in Oracle, check of payment schedule and contacts with Admin Dept for payment processing, incl. EPM system for BU budget upload
· Contracting: Support contracting process, DocuSign procedure and country specific needs such as fair market value, organization of HCP attendance to events / AdBoards etc.
Archive and Sharepoint management: creation, update and support to colleagues, including training as needed.
· Organization of international exhibitions PLAST (www.plastonline.org) and GREENPLAST (www.greenplast.org) in Milan
· Coordination of Italian Pavilions in foreign exhibitions of the plastics and rubber sector with presence onsite (Poland, Turkey, Uzbekistan, Mexico, Russia, Morocco, Germany, etc..)
· Budget planning and tracking
· Organization of company events in Italy and abroad, sales meetings and parties:
- contacts with organizers, stand fitters, freight forwarders, catering companies, etc..
- sales activities with prospects
- technical assistance to exhibitors (information communications, FAQ, pre and post event assistance)
